Dataflow - Stock Control

The dataflow Stock Control module efficiently and accurately manages stock levels, product location and transaction processing. Its numerous features help you to balance the availability of your products to give even better service to your customers.

An optional module within dataflow, it provides support for an unlimited number of warehouses, fits neatly within the dataflow multi-currency and multi-company environment. Quick and easy to operate: simply point- and-click to open up the detail of your entire distribution cycle - from supplier to customer.

Operating Parameters

dataflow Stock Control includes a range of parameters to tailor the way the module operates. These can be set at individual stock item level, company level, or system-wide, as appropriate. They include: serial and batch number tracking, bar code identification, user definable 'units of measure', warehouse assignment, pricing controls, shortage monitoring, and many others that will be important to the way your organisation operates.

Three valuation methods are supported: FIFO, average cost and standard cost. Both FIFO and average costs are calculated by the system.

Powerful Visual Enquiries

These make it easy for your administrators to identify stock levels and track stock movements simply by pointing and clicking. Stock items and transactions can be searched, sorted and filtered to control on-screen detail. Stock movements and transactions can be browsed by periods or ranges of periods. The enquiries can drill down and across the database to expose the entire distribution cycle.

Prices and Discounts

Comprehensive options for pricing and discounts include quantity breaks, start dates and promotional dates, unlimited price bands in association with customer price and discount matrices, pricing by unit of measure, foreign currency prices, user-definable price and quantity formats, and many more.

Versatile Stock Item Properties

The Stock Control has a flexible coding structure (20-character as default), with re-coding possible at any time. Search features include: manufacturer's part number, invoice description, bar coding, serial and batch tracking.

Customised operations at individual stock code level include: up to three user definable levels of product analysis/classification, serial or batch tracking as required, preferred supplier, multiple units of measure with split-pack options, and variable price and quantity formats.

Price calculation options are also available per stock item, e.g. price x quantity, price x weight, price x weight x quantity or unit price only. Multi-company and multi-warehouse assignment can also be made at stock item level.

Alternate Stock

Alternative part numbers can be easily defined for each Stock Item which can then be used to help resolve out-of-stock situations whilst taking Sales Orders.

Ledger Specific Stock

Stock items can optionally be designated for Sales or Purchase use only, ensuring that items which are distilled or repackaged are only bought and sold under the correct designation.

Posting Stock Valuation

Nominal Journals can optionally be generated by the system to maintain stock valuation, stock accruals, cost of sales, profit on stock, write offs, WIP and wastage.

Comprehensive Transaction Processing

Keep control of all your stock with a detailed audit trail that records all stock movements, stock-take adjustments, and inter-and-intra-warehouse transfers. Inspection and quarantine areas can be used to accept or reject stock receipts. Batch and serial number tracking provides complete traceability throughout the system.

Full Reporting

Reporting on both an ad hoc and routine basis, at the precise level of detail you require, gives you the complete picture on warehouse activity. Extensive reporting filters available on standard reports include support for multi-company and multi-location information.

Additionally, the dataflow Raw Data Access module gives you the capability of extracting raw data.

Repetitive reports can be quickly reproduced with the batched reports feature. A report suite may comprise different reports and many versions of the same report.

Document Storage

dataflow includes the ability to attach any number of documents to each Stock item e.g. technical specifications, production notes, assembly plans or instructions etc. Documents in any format - Word, Excel, scanned images etc. - can be attached. These can then be viewed from the dataflow enquiry screens.

Built-in Security and Control

You need to be able to trust your stock ledger system to give a true picture of demand and supply patterns and improve levels of customer service. Some of the features that Stock Control gives you include; transaction roll-back in the event of system problems, shortage monitoring, security at individual stock code level, operational controls available at company level and period end processing independent of other modules.
