Operations

Every scanned document, attached to the record it belongs to.

The Document Store is the central repository for the paperwork the business runs on — supplier invoices, signed delivery notes, customer purchase orders, contracts and expense receipts. Each one is linked to the account or document it relates to, so it is one click away from wherever you are working.

  • Scanned paperwork linked to the account or document
  • Recalled in one click from any browse
  • Held in its own dedicated database

The problem

When the paperwork lives somewhere else.

If scanned documents sit in shared folders and inboxes, finding the one you need means a search that has nothing to do with the account it belongs to.

Filed by hand, found by luck

Invoices and delivery notes scanned into folders named by date or initials — quick to save, slow to find, and easy to misfile.

Binary data in the trading store

Scanned images kept alongside live transactions swell the database that runs the business, and back-ups grow heavier with every file.

Proof that is hard to produce

When a customer queries a delivery or a supplier disputes an invoice, the signed copy is somewhere on the network and nobody can put a hand on it quickly.

Paperwork trapped in personal inboxes

Scans saved to individual mailboxes and desktops go with the person — when they are on leave or move on, the only copy of a document can walk out with them.

Frequently asked

Document Store questions.

What can I store in it?

Scanned paperwork the business runs on — supplier invoices, signed delivery notes, customer purchase orders, contracts and expense receipts — all held centrally in one repository.

How do I find a document again?

Each document is linked to a customer or supplier account, a nominal account, or a specific Order Processing document. You recall it in one click from the linked record using "View scanned documents" or "Attach scanned document", which sit on every browse.

Where are the scanned files kept?

In a dedicated store of their own, so the scanned files stay out of the day-to-day transactional data.

Does it delete old documents automatically?

No. Retention is customer-managed — there is no automatic enforcement, so you decide what to keep and for how long.
