Solutions

Stock, orders and accounts on one database.

DataFlow is built for businesses that buy, hold and sell stock. Stock control, order processing, trade ledgers and accounts share the same database, so every sale updates stock, margin and the ledger at once — no bolted-on system, no re-keying.

  • Stock, margin and cash from one system
  • Quotes through to invoices without re-keying
  • Nominal ledger and VAT on the same database

The problem

When stock and accounts live in different places.

Most distributors end up running a stock package alongside their accounts, and spend the day reconciling the gap between them.

The bolted-on stock system

Stock sits in one package and the accounts in another, joined by exports, spreadsheets and someone re-typing the figures at month-end.

No single view of stock and margin

Nobody can say what a line really made once cost prices, carriage and settlement discounts are in — the margin only appears well after the sale.

Re-keying between order system and accounts

Orders raised in one place are typed again into the ledger, so the same figure is entered twice and the two systems drift apart.

Buying blind on stock

Without live stock levels and sales history in front of them, buyers order too much of what sits and too little of what sells, so cash is tied up in dead stock while the fast lines run out.

Frequently asked

Distributor and wholesaler questions.

Do stock and accounts really share one database?

Yes. Stock control, order processing, the trade ledgers and the accounting system all sit on the same database, so a sale updates stock, margin and the nominal ledger at once — there is no export and no second system to reconcile.

Can it handle our pricing?

Yes. Stock control supports layered price lists, so you can price by customer, by quantity break and by promotion, and the price that applies at order entry is the price that carries through to the invoice.

Does it support batch and serial tracking?

Yes. Stock can be held in bin locations and tracked by batch and serial number, so you can trace what you received, where it is held and where it was sold.

How do inbound orders from customers come in?

Orders can be keyed quickly with Quick Order entry, or received electronically through PunchOut and EDI, then flow straight into the same order processing cycle as any other order.
